Zoho Notebook Introduces Smart Features for Enhanced Productivity

Zoho has rolled out a range of intelligent features and upgrades for its note-taking app, Zoho Notebook. These new capabilities allow users to retrieve context-specific answers from their personal notes, generate insights, convert spoken content into written notes, create mind maps, and more.

The latest updates in Zoho Notebook are powered by Zoho’s in-house intelligent system, Zia, designed to make information capture, organisation, and retrieval more seamless for teams, according to a company press release on November 4.

Zoho also announced that the free student version of Notebook has been upgraded with these features, making it accessible to educational users without any cost.

“These enhancements reflect Zoho’s commitment to developing productivity tools that understand how modern teams work,” the Chennai-based company said. “Instead of forcing users to adapt to rigid software structures, Zoho Notebook adjusts to natural workflows while providing intelligent assistance to amplify human capability.”

In recent weeks, Zoho has accelerated its rollout of new smart tools across its platforms, aiming to capitalise on its growing popularity in India. This momentum is partly driven by government initiatives promoting ‘Swadeshi’ or ‘Made-in-India’ digital products amid rising international trade tensions.

Last month, Zoho introduced several agentic features in other enterprise offerings, including Zoho Mail, Zoho CRM, and Zoho Recruit, further integrating smart capabilities across its ecosystem.

Features, Pricing, and Future Integrations

Zoho Notebook serves as a central hub for organisations, enabling users to manage documents across Zoho CRM, Zoho Projects, and Zoho Mail without losing context. The app is included in Zoho One Premium, which starts at ₹3,500 per user per month when billed annually.

It is also available as a standalone application for Android, iOS, and web users. The Notebook for Business plan, designed for team productivity and collaboration, costs ₹333.25 per user per month billed annually. Students can register for free using their educational email IDs.

Key new features in Zoho Notebook include:

  • Ask with My Content: Retrieve answers from personal notes.

  • Ask Anything: Generate insights on any topic.

  • Meeting Notes: Convert spoken content into timestamped notes with speaker identification and summaries.

  • Mind Map Generation: Transform long documents into hierarchical mind maps.

  • Smart Note Creation: Quickly create structured content like checklists, tables, reusable templates, and tagged notes.

Additional features include Writing Enhancement to refine content, summaries, grammar, and tone, Tone and Voice Customisation to adjust the style of writing for different audiences, and Multilingual Voice Search and Translation to locate information using voice commands and convert content across 80 supported global languages, including eight Indian languages such as Hindi, Bengali, Gujarati, Kannada, Marathi, Punjabi, Oriya, and Sanskrit.

Looking ahead, Zoho plans to integrate Zoho Voice and Zoho CRM, allowing users to access intelligent call transcriptions and meeting or sales notes directly within their CRM records, further streamlining workflow and productivity.
